Create and Send E-Mail Messages

Although Entourage is a full-service information management program, your primary use of it will probably be for e-mail. Regardless of the type of e-mail account you have (Exchange, IMAP, POP, or Windows Live Hotmail), as long as you have an Internet connection, you can send e-mail.

Address Messages

Addressing an e-mail message is as simple as typing the intended recipient’s e-mail address into the To, Cc, or Bcc box. To determine the correct box, consider whether you want to send a message to more than one person, indicate a different level of involvement for certain recipients, or include certain people without other recipients knowing.

As you type a name or an e-mail address into the To, Cc, or Bcc box, Entourage searches the Address Book and your received mail for matching names or e-mail addresses, and displays them in a list below the box. If a name or address match is found, select it from the list, and then press Tab or Return to insert the entire name or address in the box.

When you address a message, Entourage displays a list of possible address matches.

Tip

You can address a message sent from an Exchange account to another person on the same Exchange network by typing only his or her e-mail alias (the first section of the e-mail address)—the at symbol (@) and domain name aren’t required.

To send a message to multiple recipients, separate their addresses with commas or press Return after each address to place the next recipient on a separate line of the address box.

To send a courtesy copy of a message to people, enter their addresses in the Cc box. This is commonly referred to as "CCing" a person. You might CC people to provide them with information but indicate that you don’t require their involvement in the conversation.

To send a message to people without making it known to other recipients, enter their e-mail addresses in the Bcc box to send a "blind" courtesy copy (also known as "BCCing"). Addresses entered in the Bcc box can’t be seen by other message recipients. They also aren’t included in any replies to the original message. The Bcc field doesn’t appear in the message header, but it’s available from the pop-up box that appears when you click the To or Cc box.

If you send a message with invalid or unresolved e-mail addresses among the recipients, Entourage delivers the message to the valid recipients, and eventually returns a failure notice listing the addresses the message couldn’t be delivered to.

Attach Files

You can send files—Office files or other types of files—to people as message attachments. Most e-mail programs can receive message attachments. Some programs and spam filters will block attachments that could present a threat to the recipient’s computer, such as executable files (.exe files) that might contain viruses or worms.

To attach a file to an outgoing message:

  1. On the toolbar, click the Attach button.

  2. In the Choose Attachment dialog box, select the file you want to attach, and then click Open.

Attached files are listed in the message header. You can expand the Attachments section to view more information about files and control settings related to the attachments.

Save Message Drafts

Until you save or send a message, it is only a temporary item. If you close the message before sending it, or close the program before sending the message, Entourage gives you the option of saving a copy of the message in your Drafts folder.

Entourage prompts you to save drafts of unsent messages.

To restart work on a draft message, display the Mail module, click the Drafts folder in the Folder list, and double-click the message you want to open. Complete the message content, and then send the message as described in the following section.

Send Messages

If your profile includes multiple e-mail accounts, you can specify the account you want to use each time you send an e-mail message, by selecting the account in the From list, at the top of the message header. The From list is visible only when multiple accounts are configured within a profile.

To send a message, click the Send button on the toolbar. And voila! You have communicated with the outside world!
