Add Headers and Footers

Headers and footers are areas at the top and bottom of a page in which you can insert additional information. For example, you might display a document’s title, a company logo, or contact information in the header, and the page number in the footer. Other common footer content includes copyright and version information.

Every page of a document (other than the cover page) has an area at the top of the page that is designated for the header, and at the bottom of the page for the footer. In Print Layout view, you can edit the header or footer by double-clicking that area to activate it. In the active header or footer section, you can insert and format text and graphics.

When creating a header or footer, you can choose to have one that appears on all pages, one that is specific to the first page, one for odd-numbered pages and another for even-numbered pages, or some combination of these three options.

Tip

If your document contains section breaks, each successive section inherits the headers and footers of the preceding section unless you break the link between the two sections. If you do so, you can then create a different header and footer for the current section. For information about sections, see "Insert Page and Section Breaks" in Chapter 11.

From the Document Elements tab of the Elements Gallery, you can insert any of three headers designed to display on all pages of a document, or any of 11 headers designed for display on every other page.

You can insert headers and footers from any location in a document. To insert a themed header or footer in a document, follow these steps:

  1. Display the Document Elements tab of the Elements Gallery.

  2. In the Header group or the Footer group, select from the Insert as list the pages you want the header or footer to appear on—Even Pages, Odd Pages, or All Pages.

    The available elements change to fit your selection.

    Note

    In general, Even Page content is aligned toward the left side of the page, and Odd Page content toward the right side of the page. This places information appropriately for double-sided documents.

  3. In the Header gallery or Footer gallery, click the element you want to insert.

  4. Scroll to a page displaying the header or footer, and replace any placeholders with the appropriate content.

Tip

While a header or footer is active for editing, the document text appears faded, to help draw your attention to the active document element. If you prefer to not see the document text at all while you’re editing a header or footer, select the Hide Body Text check box in the Header And Footer panel of the Formatting Palette.
