To display, open, and create contact record links
In the contact record, click the Links button. In the Links To window, click To New or To Existing and then, in the list, click the type of item you want to link to. In the dialog box that opens, create or locate the item.
In the Address Book, click in the Links column and then click Link To Existing Link or To New. In the list, click the type of item you want to link to. Then in the dialog box that opens, create or locate the item.
To create a calendar event
Click the New button on the Calendar window toolbar.
In the New Event window, enter the name of the event in the Subject box and its location in the Location box.
In the Start box, select the date of the event or, if it’s a multi-day event, the first day.
If the event is not tied to a specific time span, select the All-day event check box. If it starts and finishes at specific times, enter that information in the Start and End boxes.
If the event will recur on a regular schedule, click the Occurs list and then click the frequency of recurrence.
If you want to change the reminder time, select the units and number of units in the lists to the right of the Reminder check box, or clear the check box.
If you want to block out time for travel, select the Travel time check box and, in the lists, select the amount of travel time and the relationship to the event.
Click the Status button and, in the list, click Busy, Free, Tentative, or Out Of Office.
Add any notes or other information, close the event window, and then click Save in the message box.
To change the calendar display
Move to the current day by clicking the Today button on the toolbar.
Move to the previous or next time period by clicking the left or right arrows to the left of the time period.
Display a specific date or range of dates by clicking or dragging to select them in the Mini Calendar.
Change the view by clicking the toolbar buttons or by clicking the view you want on the Calendar menu.
Change the time period displayed in the large calendar by doing the following:
To assign one category to an item
Right-click the item, point to Categories, and then click the category.
Select the item in the module window, click the Categories arrow on the program window toolbar, and then click the category you want to assign.
Open the item in its item window, click the Categories arrow on the item window toolbar, and then click the category you want to assign.
To assign multiple categories to an open or selected item
Click the Categories button on the program window or item window toolbar.
In the Assign Categories dialog box, select the check boxes of the categories you want to assign. (Assign a category and select its color by clicking the category name and clicking the Set Primary button before selecting its check box.)
Click OK.
To display only items with a specific category assigned to them
To manage categories
Display the Categories window by clicking Edit Categories in any of the Categories lists.
Change the name of a category by double-clicking the name, editing it, and pressing Return.
Change the color associated with a category by clicking its color box and then clicking the color you want.
Delete a category and remove any assignments of that category by clicking the category name, clicking the Delete button, and clicking Delete in the message box.
On the Address Book toolbar, click the New arrow and then, in the list, click Group.
In the Group window, enter the group name and click the Add button.
In the text box, enter the name (if you have a contact record for the person) or e-mail address of each group member. Press Tab after each entry to start a new line, or Return to finish.
If you want the e-mail messages you send to this group to display only the group name and not the addresses of the group members, select the Don’t show addresses when sending to group check box.
Close the group window and click Save in the message box.

To create a contact record
On the Address Book toolbar, click the New button. Or from any module, click the New arrow and then, in the list, click Contact.
In the Create Contact window, enter a basic name and other information you want to record. (Display additional fields by clicking the More button in the lower-right corner of the window.)
Close the contact window and click Save in the message box.
To make changes to a contact record
In the Address Book, double-click the contact record you want to edit, and in the contact record window, make any changes, additions, or deletions.
Close the contact window and click Save in the message box.

To automatically configure an account
Click Accounts on the Tools menu.
In the Accounts dialog box, click the New button, and then click Mail (or, to connect to an Exchange account, click Exchange).
On the Set Up a Mail Account page of the Account Setup Assistant, enter the e-mail account you want to connect to in the E-mail address box.
Click the Next button to submit the account for automatic configuration.
If the automatic configuration was successful, click the Next button to display the Verify and Complete Settings page. Verify your name and e-mail address, and enter the password required to access the account.
If the automatic configuration was not successful, click the Next button to display a more complete version of the Verify and Complete Settings page. Enter the information required to access the account.
Click the Next button to display the Optional: Verify Settings page, and then click the Verify My Settings button.
If the verification fails, click the Back button to return to the Verify and Complete Settings page. The settings that failed verification are now indicated in red. Correct the information in these fields, and then click the Next button to return to the Optional: Verify Settings page.
After the verification succeeds, click the Next button to display the Setup Complete page. Enter the name by which you want to identify the account. If you want the account to appear in your Entourage contact record, and to be updated at regular intervals with other accounts, leave the check boxes selected; otherwise, clear the ones you don’t want to apply. Then click Finish.
To manually configure an account
Click Accounts on the Tools menu and then click the New button (not its arrow).
In the Account Type list, click the type of account you want to connect to (POP, IMAP, Exchange, or Windows Live Hotmail). Then click OK.
Enter the requested information in the Edit Account dialog box.
If your incoming server requires special information, click the Click here for advanced receiving options button in the Receiving mail section to display a box of options specific to the incoming server. Select the check boxes that are pertinent to your account, and then close the box.
If your outgoing server requires special information, click the Click here for advanced sending options button in the Sending mail section to display a box of options specific to the outgoing server. Select the check boxes that are pertinent to your account, and then close the box.
In the Edit Account dialog box, click OK.
To start a new message
To address a message
Type the intended recipient’s e-mail address into the To, Cc, or Bcc box, separating multiple addresses by using commas or by pressing Return.
If Entourage displays a list of matching names or addresses, click the correct one, and then press Tab or Return to insert the entire name or address in the box.
Format the text by clicking buttons on the message header toolbar.
Format the background with a color by clicking the Background arrow on the message header toolbar and then clicking the color you want.
Format the background with a picture by clicking the Insert button on the message window toolbar and then clicking Background Picture. In the Choose a File dialog box, select the picture you want and then click Choose.
Remove a background picture by clicking Remove Background Picture on the Message menu.
Insert clip art images, symbols, pictures, and other graphics from the Object Palette of the Toolbox.

Move a message to the Deleted Items folder by clicking the message header in the Mail pane and then clicking the Delete button on the toolbar or pressing the Delete key.
Move a message to the Deleted Items folder by right-clicking the message header in the Mail pane and clicking Delete Message.
Permanently delete a message by displaying the contents of the Deleted Items folder, clicking the message header or selecting multiple messages in the Mail pane, clicking the Delete button on the toolbar or pressing the Delete key, and then clicking Delete in the message box.
Manually empty the Deleted Items folder by right-clicking the folder in the Folder list, and then clicking Empty Deleted Items.
Have Entourage automatically empty the Deleted Items folder by setting up a schedule for this task.

To create an e-mail signature
Click Signatures on the Tools menu. Then in the Signatures dialog box, click the New button.
In the Name box, enter a name by which you will identify this signature and then press the Tab key.
In the content box, enter the text of your e-mail signature. Apply formatting by using the commands available on the toolbar above the content box.
Insert a picture, background picture, sound, or movie by pointing to Insert on the Message menu, and then clicking the type of item. In the Choose a File dialog box that opens, select the specific item, and then click Choose.
Close the signature window. If Entourage displays a dialog box prompting you to save the signature, click Save.
To specify a signature to be inserted in all new messages
Open the Edit Account dialog box by using one of these methods:
In the Folder list, right-click the account header, and then click Edit Account.
Click Accounts on the Tools menu. Then in the Accounts dialog box, double-click the account name.
In the Edit Account dialog box, display the Options page.
In the Default signature list, click the signature you want to appear at the bottom of each message sent from this account.
Click OK.

Add buttons to the toolbar by clicking Customize Toolbar on the View menu (or in the Calendar module, on the Calendar menu) and then dragging commands to the toolbar from the dialog box that appears.
Specify whether icons and/or text should appear on toolbar buttons by choosing Icon & Text, Icon Only, or Text Only in the Show list. To display small icons, choose Icon & Text or Icons Only, and then select the Use Small Size check box.
