Practice Manipulating Text

In this exercise, you’ll select, replace, delete, cut, copy, paste, and move text within a document.

Note

SET UP Open the SeriesDescription document located in the ~/Documents/Microsoft Press/2008OfficeMacSBS/WorkDocuments/ folder.

  1. If non-printing characters are not already visible in the document, click the Show button on the toolbar.

  2. On the third line of the first paragraph, click immediately to the left of the word between, hold down the Shift key, and then on the next line, click immediately to the right of the word fifteen (and to the left of the comma that follows it).

    Word selects the text between the two clicks.

  3. Press the Delete key to delete the selection.

    Word also deletes the space before the word between, at the beginning of the selection.

    Tip

    If Word doesn’t delete the space, then your Edit Preferences setting has been altered from the default. See the sidebar on the facing page.

  4. To see an "instant replay" of your actions and watch Word delete the unselected space, click the Undo button on the toolbar, and then click the Redo button.

    Notice that when you undo the deletion, the text between the ages of twelve and fifteen is still selected, exactly as it was.

  5. In the first sentence of the first paragraph, double-click the word book to select it, and then press the Delete key.

  6. In the second sentence of the same paragraph, double-click the word principal, and then replace it by typing primary.

    Notice that you don’t have to type a space after primary. Word inserts the space for you.

  7. Position the mouse pointer in the selection area to the left of the subheading A Fantasy Series for Young Adults. When the pointer changes from left-pointing to right-pointing, click once to select the entire line of text.

  8. On the Edit menu, click Copy (or press Command+C).

    Word copies the selected line to the Clipboard.

  9. At the bottom of the vertical scroll bar, click the Next Page button to move to the beginning of page 2, and then press the Down Arrow key twice to position the insertion point at the beginning of the paragraph (not the heading).

  10. On the Edit menu, click Paste (or press Command+V).

    Word inserts the copied subheading, and the Paste Options button appears below and to the right of the insertion. You can click this button if you want to change the way Word pastes by default, but in this case, you can just ignore it.

  11. Return to page 1, and then in the numbered list, triple-click anywhere in the Bartimaeus Trilogy entry to select the entire list item.

  12. On the Edit menu, click Cut (or press Command+X).

    Word cuts the selection to the Clipboard and renumbers the list to reflect that it now has only four items.

  13. Press the Up Arrow key once to move the insertion point to the beginning of the Harry Potter series paragraph. Then paste the Bartimaeus Trilogy item from the Clipboard.

    You have switched the order of the first and second list items.

  14. On the toolbar, click the Undo arrow and then, in the list, click the third action (Paste).

    Word undoes the previous cut-and-paste operation and the pasting of the subheading at the top of the second page.

  15. Verify that the subheading that was located at the top of page 2 no longer appears there. Then press Command+Home to move to the beginning of the document.

  16. Move the pointer into the selection area adjacent to the second paragraph (the one beginning Interest in the fantasy genre), and double-click to select the paragraph.

  17. Point to the selection, hold down the mouse button, and then drag the paragraph up, to the beginning of the paragraph above it.

    As you drag, Word displays a transparent reference version of the dragged text. This can be more of a hindrance than a help if it obscures the target location.

    When you release the mouse, the text appears in its new location.

  18. With the paragraph still selected, press the End key.

    Word releases the selection and moves the insertion point to the end of the paragraph.

  19. Press the Spacebar, and then press the Del key.

    Word deletes the paragraph mark, and the two paragraphs become one.

  20. Open the Toolbox and then, if the Scrapbook is not already displayed, click the Scrapbook button on the Toolbox menu bar.

  21. Display page 2 of the SeriesDescription document. In the second paragraph of text, after the comma, point to the e in the word The. Click to the left of the e and then drag to select the second phrase of the sentence, beginning with The Taguien Cycle and ending with the period.

    Although you started selecting text in the middle of the word The, Word automatically selected the entire word, as well as the space following the period.

  22. On the Edit menu, click Copy to Scrapbook (or press Shift+Command+C).

    A new clipping labeled Series Description appears in the Scrapbook. The clipping name is based on the name of the file the content was clipped from.

    CLEAN UP Close the SeriesDescription document without saving your changes.
