Key Points

  • Each Office program offers a variety of ways to view and move around through the Office files you are working with. You can move around by using the mouse or convenient keyboard shortcuts.

  • Word, Excel, and PowerPoint each offer multiple views of files. You can easily switch between views by clicking the buttons on the View toolbar at the left end of the status bar.

  • In Word, the default view is Print Layout view. In this view a document appears on your screen exactly as it will appear on the printed page. You can also work with documents in Draft, Outline, and Web Layout views.

  • Print Layout view is also the default view of Excel workbooks. In Print Layout view, you can display horizontal and vertical rulers that indicate the boundaries of the printed page and other information. Another option is to view a worksheet in Normal view, which displays one large cell grid.

  • The default view of a PowerPoint presentation is Normal view. In Normal view, you have access to a list of slides or an outline of the presentation in the Navigation pane, an editable version of the active slide, and an area in which you can enter speaker notes associated with the slide. You can also display slides at full window size in Slide view, display thumbnails of the entire presentation in Slide Sorter view, or display a slide show of the presentation in Slide Show view.
