Create a Table of Contents

When working in a lengthy document, you can add a table of contents (TOC) to the beginning of the document to give your readers an overview of the document’s contents and to help them navigate to specific sections.

In the TOC, you can indicate with a page number the starting page of each section. If the document is divided into sections by headings that are formatted with standard styles (Heading 1, Heading 2, and so on), the TOC can consist of an automatically generated list of the headings. If your document doesn’t include headings, Word can generate a formatted table in which you can manually enter topics and page numbers.

To insert a table of contents, follow these steps:

  1. Click to position the insertion point where you want to insert the TOC.

    Tip

    If you want the TOC to appear on its own page, insert a page break before creating the table of contents, to ensure that the page numbers in the TOC are correct and remain that way.

  2. Display the Document Elements tab of the Elements Gallery.

  3. In the Tables of Contents group, with Heading Styles selected in the left pane, click the style of TOC that you want Word to generate from the document headings.

    Or

    With Manual Formatting selected in the left pane, click the style of TOC that you want to insert formatted placeholders for.

When you tell Word to create the table, Word identifies the TOC entries and inserts a frame containing the TOC. The frame is visible only when the TOC is active. You can move the TOC by dragging the frame’s move handle (the three dots in the upper-left corner).

The formatting of the entries in a TOC is controlled by nine levels of built-in TOC styles (TOC 1, TOC 2, and so on). By default, Word uses the styles that are assigned in the template attached to the document. If you want to use a different style, instead of clicking one of the standard options in the Table Of Contents gallery, you can click Index And Tables on the Insert menu. On the Table Of Contents tab of the Index And Tables dialog box, you can choose from several style variations, such as Classic, Modern, and Simple.

You can use the options in the Index And Tables dialog box to build a custom TOC.

To specify which styles the TOC contains, click the Options button. The Table Of Contents Options dialog box lists every paragraph style in the document. You simply place a number from 1 through 9 in the TOC Level box for any style you want to include in the TOC.

The TOC can include any style of paragraph in the document, organized in up to nine levels.

If you clear the Build Table Of Contents From check box and select the Table Entry Fields check box, Word builds the TOC based strictly on the nine standard heading levels.

Tip

If you create a TOC based on the document’s template, you can customize the TOC styles during the creation process. On the Table Of Contents page of the Index And Tables dialog box, click Modify. The Style dialog box opens, displaying the nine TOC styles. You can modify the font, paragraph, tabs, border, and other formatting of these styles the same way you change any other style.

After you create a TOC, you can format it manually by selecting text and then applying character or paragraph formatting or styles. You can edit the text of a TOC, but it is much easier to click the Update Table button and have Word do the work for you. You have the option of updating only the page numbers, or if you have changed, added, or deleted headings, you can update (re-create) the entire table.
