Managing app licenses

Apps that have been obtained from the SharePoint Store have built-in licensing (even if the apps are free). Some apps require individual license assignment and tracking, while others are organization-wide. You can manage the association of licenses and purchase additional licenses from inside the App Catalog. 

To manage an app's licenses, follow these steps:

  1. Navigate to the App Catalog site and select Site contents.
  2. Hover over the app to manage, select the ellipses (...) and, then from the popup menu, select LICENSES:

The following table describes the options that are available on this page (the Recover and Remove license options are available under the ACTIONS drop-down):

Option Task Steps
Assign licenses Assign licenses to specific users (if the product is licensed per-user). Click Assign licenses, enter the names of the users that you wish to assign licenses to, and click Add User.
Buy Buy more licenses (if the product is licensed per-user). Click buy and then follow the steps to sign in to your Microsoft account to purchase additional licenses.
Add manager Add a license manager. Click Add manager, enter the names of the users you want to add as managers, and then click Add Manager under the user list.
Actions | Recover License Reacquire the license from the SharePoint Store. You can do this if your tenant gets out of sync with the SharePoint Store or you are migrating to a new tenant. Click the arrow next to Actions and then click Recover license. On the details page for the app in the SharePoint Store, click More Actions and then select Recover License. If prompted, sign in with your Microsoft account.
Actions | Remove a license Remove a license from your subscription.

Click the arrow next to Actions and click Remove this license.

 

Depending on the actions you take, you may be prompted to purchase more licenses or confirm the assignments of users to licenses. If users are unable to access applications, review the licensing model of the application (per site/tenant or per user) and ensure that the appropriate licenses have been obtained and assigned.
