Creating a Replica

If you are connected to the Notes network at the office, consult with your system administrator before you create a local, replica copy of a database. Some databases might be too large for your workstation hard drive space, and others might be unnecessary to replicate because you can access them directly from the server. Also, some databases might have restrictions set that do not enable you to create a local replica. If you are replicating databases for your laptop, you must first configure Notes for mobile use, as described in Lesson 22, "Setting Up for Mobile Use."

To create a replica database, you must be connected to the server via a phone line and modem or through the Notes network. Then, follow these steps:

  1. Make certain that you do not have any database icons selected or highlighted. From the Notes workspace, choose File, Replication, New Replica: or click the New Replica Smarticon on the toolbar.

  2. The Choose Database dialog box appears (see Figure 11.3).

  1. Under Server, choose the server that stores the database you want to replicate. If you are creating a Mail replica, choose your home server. If you aren't sure, ask your system administrator.

  2. From the Database list, select the file you want to replicate. If you are creating a mail database, you are likely to find mail files located in the Mail subdirectory or folder. Your mail file contains 8 letters, followed by the file extension .nsf. The filename probably will be the first letter of your first name and the first seven letters of your last name, such as jcalabri.nsf

  3. You don't need to change the filename, and Notes will fill in the title of the database for you. Remove the check mark from Copy Access Control List.

  4. Under Create, click Immediately.

  5. Click OK.

Notes immediately creates a new replica of the database and adds the icon to your workspace. If you accessed this database from the server before you created a replica, you will have two icons for the database. One icon points to the server, the other to your local copy. If you have icons stacked on your workspace, the local icon appears on top of the server icon.

As soon as you begin working with replicas, you will need to become familiar with the replicator page of your workspace. Refer to Lesson 24, "Using the Replicator Page."
