Creating a Message from a Multi-Page Publication

In this exercise, you will add pages to an e-mail message publication, send a single page of a multi-page publication, and send all pages of a multi-page publication.

Note

USE the WineTasting and BookSeries publications. These practice files are located in the DocumentsMicrosoft PressSBS_Publisher2007OnlinePublications folder.

BE SURE TO install and configure Outlook, Outlook Express, or Windows Mail as your default e-mail application before beginning this exercise.

OPEN the WineTasting publication.

  1. Close the Format Publication task pane, set the Zoom level to 100%, and then review the content of this one-page e-mail publication promoting the first of a series of wine-education events.

    The boundaries and guidelines are turned off so that only the content is visible.

  2. On the Insert menu, click Page. In the Insert Page dialog box, enter 3 in the Number of new pages box, and under Options, click Duplicate all objects on page 1. Then click OK to create three copies of the message page.

  3. On page 2, change the date from June 24th to July 22nd, and on the following line, change first to second. On page 3, change the same information points to August 19th and third, and on page 4 to September 16th and fourth.

    The final date is longer than the others, causing the Text In Overflow indicator to appear.

  4. Drag the left handle of the text box containing the date and time to the left until the text box is wide enough to accommodate its content.

    You now have one file containing separate e-mail messages promoting four separate events.

  5. Display page 2—the message promoting the event on July 22nd.

  6. On the File menu, point to Send E-mail, and then click Send as Message.

  7. Click Send current page only, and then click OK.

    Publisher displays the e-mail message toolbar and message header, as well as a message from the Design Checker. If the task pane is displayed, it lists the 15 potential issues identified, including minor items such as non-Web-ready fonts.

  8. On the File menu, point to Send E-mail, and then click Cancel E-mail Message to return to the publication editing interface.

  9. On the Standard toolbar, click the Open button. From the DocumentsMicrosoft PressSBS_Publisher2007OnlinePublications folder, open the BookSeries publication.

  10. Close the Format Publication task pane, and then change the Zoom level to 100%.

    This two-page publication consists of a cover page and a detailed book series overview.

  11. Display page 2.

    You need to send both pages of the publication embedded in an e-mail message.

  12. On the File menu, point to Send E-mail, and then click Send as Message. In the Send as Message dialog box, click Send all pages, and then click OK.

    We haven’t made changes to the publication, so there is no need to save it before creating the e-mail message.

  13. With the No option selected, click OK.

    Publisher creates an e-mail message containing the concatenated content of the document. Some graphic elements have changed.

    The Format Publication task pane displays the Extra Content pane, listing design objects that Publisher couldn’t automatically port to the e-mail message. These are not the same issues identified by the Design Checker.

  14. Scroll the list to view the three pieces of text Publisher couldn’t identify locations for. Point to Prepared by: Jeff Chia, click the arrow that appears, and then click Insert.

    A text box containing the selected text appears in the message. Move the text box to the right side of the page, under the horizontal line.

    Tip

    You can turn on boundaries and guides to view the text box outlines in the e-mail message.

  15. Repeat step 14 to insert the proposal date under the author’s name, and the document title at the beginning of the message. You might need to resize the text box containing Series Proposal.

  16. To the right of the first paragraph of the actual series description, delete the text box that contains the second instance of the document title. Then resize the text box containing the paragraph.

    Notice that the text box still retains a link to the next text box.

  17. Enter your e-mail address in the To box and Publisher book proposal in the Subject box. Send the message, and then examine it when you receive it.

Note

CLOSE the message and the publications without saving your changes.
