Using the Correct Collaboration Tools

With all of the new tools provided by Microsoft to support collaborative workflow, there might be some confusion about which technology to use. A range of interlocking communications technologies work with Outlook 2007 and the rest of the Microsoft Office system applications to provide the means to dynamically collaborate with colleagues, customers, and the public.

Each of the server and client applications addresses particular communications needs and capabilities, so examining what each program is designed to do can give you some guidance as to which to choose. The following list briefly describes the core capabilities and uses of these new applications and service offerings:

  • Use Office Communicator with Office Live Communications Server:

    • To establish instant messaging sessions with one or more members of your internal network.

    • To facilitate quick phone connections between project members.

    • To establish video conferencing between yourself and designated colleagues.

  • Use Office Live Meeting:

    • To create dynamic collaborative multimedia conferences with distributed groups of people who are not sharing the same network.

    • To provide a simultaneous audio broadcast to a selected group of attendees for informational, marketing, or promotional purposes.

    • To support dynamic and interactive cooperative work on documents between project members working from different locations.

  • Use Office SharePoint Server 2007:

    • To support the development of documents with distributed project teams.

    • To manage version control for content development.

  • Use Office Live Collaboration:

    • To create a Web-accessible location for your small business information.

    • To provide an Internet-accessible point to share data with your customers, vendors, and partners.

  • Use Office Live Basics or Office Live Essentials:

    • To create a Web presence for your small business.

    • To establish a domain name and related e-mail accounts.
