Exporting Contacts to Access

Another way to use Outlook 2007 contact information is to export the data to Access 2007, which is handy if you want to use contact data in database tables or reports. You could spend your time opening individual contact entries in Outlook 2007, copying information from the contact form, and then pasting the information into Access 2007 where you want it. However, Outlook 2007 makes the process much simpler. All you have to do is use the Import And Export Wizard and select Microsoft Access 2007 as the file to export to.

Here’s how to export contact information to Access 2007:

  1. In Outlook 2007, click File and then Import And Export to open the Import And Export Wizard.

  2. Select Export To A File and then click Next.

  3. On the wizard page shown in Figure 37-8, select Microsoft Access 97-2003 and then click Next.

  4. Select the folder from which to export data. In this case, select the Contacts folder (see Figure 37-9) or another folder that includes Outlook 2007 contact information. Click Next.

  5. Specify the folder and type a name for the export file. You can click Browse to browse to a folder and then click OK to select that folder. When you do this, the file is given an MDB extension to denote an Access 2007 database file. Click Next.

  6. In the Export To A File dialog box, click Map Custom Fields. In this dialog box, you can verify that the Contacts fields are properly mapped to the Access database fields, add or remove field items, or modify the way the Outlook 2007 contacts list is saved in the new exported file (see Figure 37-10). When you finish working with field mapping, click OK.

  7. Click Finish. Outlook 2007 exports the data from the Contacts folder and saves it in the specified file. You can now switch to Access 2007 and open the exported data as a table in that application.
