Lesson B: Place a Word Document

We will flow in the content for this brochure from a Word doc that is identical to one we placed before. That means we’ll be cleaning up the same problems we did earlier, and as we likely will many times in the future when we are sent badly formatted text.

Placing the Word Doc

  • Be sure nothing is selected (-shift-A/Ctrl-Shift-A) and that body copy is highlighted in the Paragraph Styles panel.
  • In the Type menu, choose Show Hidden Characters if it isn’t already chosen.
  • Go to the File menu and choose Place….
  • At the bottom of the Place dialog box, check the box labeled Show Import Options.
  • Navigate to the folder called project assets and select the file called Content.docx. Highlight it and click Open, or simply double-click the name. You’ll now see the Import Options.
  • In the Formatting part of the Import Options dialog, select Remove Styles and Formatting from Text and Tables and Preserve Local Overrides. Click OK.

We need to Preserve Local Overrides to maintain character overrides like italics and bold. Once we use character styles to protect the overrides we want, we’ll have to clear the bizarre ones we don’t want.

  • When your cursor is loaded, click in the middle of the slender text frame on page 1.

That frame will fill with text, which hopefully looks mostly like your definition of body copy. After a few seconds, several more pages should appear to accommodate the remaining text.

  • Have a look at those new pages. Yes, we have a little work to do yet.
